Short answer: There's no single winner. Teams and our test point the same way: ChatGPT is the broad everyday default, Claude is strongest for long writing and careful work, and Gemini makes most sense if your team already works in Google Workspace. Whichever you pick, check facts against the source. When we asked for the same company figures, the assistants gave three different answers.
The short answer, by team type
| Your team mostly… | Start with | Watch out for |
|---|---|---|
| Does a bit of everything: emails, research, drafts | ChatGPT | Checking figures it states with confidence |
| Writes long documents, proposals, careful copy | Claude | Weekly usage limits for heavy users |
| Lives in Gmail, Docs, Sheets and Drive | Gemini (with the right Workspace plan) | Which Workspace edition actually includes Gemini in Docs and Sheets |
| Needs current facts with links (prospect and market research) | A search-first tool such as Perplexity, alongside your main assistant | It's a research tool, not a writing or workflow tool |
Same task, four answers
We asked each tool the same thing on 1–2 November 2026, in a fresh chat with memory off: "Research the company HubSpot for a sales call tomorrow. Give: what they sell, who they sell to, size, one recent change, and two good questions to ask. List your sources with links." Then we checked the numbers against HubSpot's annual report filed with the SEC. ChatGPT, Gemini and Perplexity were on their free plans; Claude was Claude Code in the desktop app.
| Customers stated | Employees stated | Recent change found | Sources | |
|---|---|---|---|---|
| HubSpot 10-K (31 Dec 2025) | 288,706 | 8,882 | – | The filing itself |
| Perplexity | 288,706 ✓ | 8,882 ✓ (then ~8,200 after cuts) | October 2026 job cuts and pricing changes | SEC filing and investor pages linked |
| ChatGPT | 306,000+ | 9,000+ | A September 2026 product announcement | HubSpot pages and investor news; one broken link |
| Gemini | 299,000+ | 7,500+ ✗ | A shift to AI agents and usage-based credits | Source names only, no clickable links |
| Claude (Claude Code) | Showed two conflicting figures (≈228K and ≈300K) and flagged the conflict | ≈9,000 | News up to June 2026 only | Linked company profiles and news |
What this tells a small team:
- Only one tool matched the filing on both numbers. Perplexity, which searched first and linked the SEC filing, got the year-end figures exactly. ChatGPT's higher customer count may come from a later quarter (we didn't verify that). Gemini's employee figure doesn't match the filing.
- Recency varies a lot. One tool found October news; our Claude Code run stopped at June.
- Being honest about uncertainty is a feature. Claude didn't pick a number when sources conflicted; it showed both. That's less convenient, but safer than a confident wrong figure.
- Links matter. An answer without clickable sources can't be checked in ten seconds, so it won't be trusted for long.
This was one task, run once per tool, on the plans named above. Treat it as a practical spot-check, not a benchmark. Paid plans and other days may give different answers.
Which is best for research, writing, spreadsheets and email?
- Research with current facts: a search-first tool won our test. Teams on Reddit say the same about everyday use: one thread likes Claude for coding and writing but ChatGPT for research that cites many sources, and says Claude's default web search is weaker.
- Long writing and careful copy: Claude is the most common pick. One small-team user says Claude is the better writing product, but its $20 usage caps are why they kept paying for ChatGPT Plus.
- Spreadsheets and numbers: whichever you use, ask it to calculate and show the figures it used. In our Claude Code test, totals were exactly right because they were calculated and shown, not recalled.
- Email inside Google: Gemini, if your Workspace plan includes it in Gmail.
Asked to compare themselves for a small marketing team, all three assistants landed on a similar split: Claude for long brand writing, ChatGPT for volume and variations, Gemini for Google apps and live search.
What do team plans cost?
Checked 1–2 November 2026. Prices change and vary by country; check before you buy.
| Plan | Per seat, annual | Per seat, monthly | Team size | Source |
|---|---|---|---|---|
| Claude Team (standard seat) | $20 | $25 | 2–150 | claude.com/pricing |
| ChatGPT Business (standard seat) | $20 | $25 | 2–200 | OpenAI help centre (pricing page showed local currency) |
| Google Workspace with Gemini | Varies by edition and country; Gemini in Gmail from Starter, in Docs, Sheets, Slides, Drive and Meet from Standard | – | workspace.google.com/pricing | |
A caution from users: one Google Workspace customer paid extra for expanded Gemini during an offer, noticed no difference, and found Gemini couldn't locate old Drive files that a plain Drive search found. Try it on your own files before upgrading everyone.
What happens to your data?
- Claude Team: "No model training on your content by default." Individual plans: opt-out.
- ChatGPT Business: "No training on your business data by default." Individual plans: "Opt-out available."
- Gemini in Workspace: governed by your Workspace agreement; the pricing page lists enterprise-grade privacy for Gemini on its Enterprise edition. Check your admin settings.
On all three, business plans change the default; personal plans leave it to each person to switch training off.
Should a small team pay for two?
Most teams in the forum threads don't want two subscriptions, and usually they don't need them. A practical pattern: one main assistant for everyone, plus a search-first tool (often free) for the few people who do prospect and market research. If you're unsure which main assistant fits, run the same three real tasks from your own week through each free plan and check the answers, as we did.

Common questions
Which AI is best for a small business?
It depends on the work. ChatGPT is the broad default, Claude is strongest for long writing, and Gemini fits teams already in Google Workspace. Test the same real tasks in each before paying.
Is Claude better than ChatGPT for writing?
Many users say so for long, careful writing. ChatGPT is often preferred for variety and quick drafts. The difference matters most for proposals, reports and brand copy.
Is Gemini included in Google Workspace?
The Gemini app is included in Workspace plans, Gemini in Gmail starts on Starter, and Gemini in Docs, Sheets, Slides, Drive and Meet starts on Standard, per Google's pricing page in November 2026.
Can I trust the numbers an AI assistant gives me?
Not without checking. In our test, three assistants gave three different customer counts for the same company; only one matched the company's filing. Ask for sources and check key figures yourself.
